restoration estimating software

noun · property restoration

Tools that turn evidence from a water, fire or mold loss into a priced, line-item estimate an insurance carrier can review, usually in Xactimate.

Who this is for: owners, new estimators and office staff who want xactimate line item search the plain version.

Reading time: about six minutes.

Restoration estimating software is any tool that helps a contractor turn what happened on a loss into an estimate a carrier will pay. That sounds simple. In practice it covers several kinds of tools, and most contractors use more than one. This primer explains the categories, why contractors need them and where AI drafting fits in late 2026.

The job the software does

An insurance restoration estimate is a list of line items: tear out this much drywall, run these dehumidifiers for these drying days, replace this baseboard, paint these walls. Each line needs a code, a quantity and a price. Each needs evidence behind it, because a desk adjuster or a TPA reviewer will ask.

Most carriers in the US work in Xactimate, the Verisk estimating platform, and its file format is the ESX. Some carriers use Symbility, another claims estimating platform. Whatever tools a contractor uses upstream, the estimate usually has to end up in one of those.

The main categories

Estimating platformsXactimate and Symbility, where line items are priced and submitted.
Documentation and capturePhotos, 360 capture, scans and floor plans, such as DocuSketch, Encircle and magicplan.
Job managementScheduling, job files and workflow across the company.
AI draftingSoftware that reads field evidence and drafts the line items for an estimator to approve.

Some vendors span categories. DocuSketch, for example, is a documentation platform that also sells human estimating as a service. Names such as Rebuild, Wave, CapOut and x.build also come up when contractors compare tools.

Why contractors need restoration estimating software

Carriers expect it

An estimate that arrives in the format and codes the carrier uses moves faster. A handwritten bid or a spreadsheet invites questions.

Scope gets missed by hand

Fire and water losses have dozens of small items: detach and reset, floor protection, containment, cleaning. Structured tools make it harder to forget them.

Documentation wins disputes

When a line is challenged, the contractor with photos, moisture logs and clear notes tied to each room usually gets paid. Good software keeps evidence and estimate together.

Estimator time is scarce

Experienced estimators are hard to hire. Every hour they spend re-keying photos into Xactimate is an hour they are not reviewing scope or handling supplements.

The estimator's value is judgement. Software should take the typing, not the judgement.

Where AI drafting changes the workflow

Traditionally the estimator looks at photos and measurements, then types every line into Xactimate. AI drafting reverses the order. The software reads the photos, measurements, floor plans and notes, drafts the line items, and the estimator reviews.

Axiom is one example. Photos come from uploads, the iOS app or a CompanyCam, Google Drive or DocuSketch link. Rooms come from an iOS 3D scan, an existing ESX, a 2D PDF, typed rooms or a traced photo of a hand-drawn sketch. The draft is organised by room with Xactimate codes and editable quantities, drawn from thousands of real claims. When photos do not settle an item, its scope assistant asks rather than guessing. The output is a native .esx that opens directly in Xactimate and reprices on the shop's own price list. Nothing is final until an estimator approves each room.

It covers mitigation, put-back and exterior job types, and adds two related tools: PDF to Xactimate, which converts an existing Xactimate estimate PDF into an ESX, and Compare, which combines carrier and contractor estimates for line-by-line review.

In the walkthrough demo recorded in July 2026, an approximately $8,000 water loss produced 33 line items in a little over one minute before opening in Xactimate.

Common misunderstandings

"The software decides the scope"

It does not. Even with AI drafting, the estimator decides. The software proposes line items from evidence; a person approves, edits or removes them room by room.

"A PDF estimate is good enough"

For many carriers and TPAs it is not. If the file has to be re-keyed into Xactimate, the time saving disappears. A native ESX keeps the work inside the platform the carrier uses.

"We need to change our field apps"

Not necessarily. Many tools accept photos and plans from what crews already use. Changing capture and estimating at the same time is the fastest way to stall adoption, so change one step at a time.

What it costs

Prices vary widely across categories. As one reference point, at the time of writing (October 2026) Axiom lists Starter at $899 per month (15 estimates, 15 conversions, 15 comparisons) and Pro at $2,500 per month (50 estimates, unlimited conversions and comparisons), with custom Enterprise plans and unlimited users on all plans.

Questions for a new estimator

If you are new to the desk, learn the tools in order. Get comfortable with Xactimate first, because everything ends there. Then learn how your company documents losses, since that is the evidence you will defend. Only then add drafting tools, so you can tell when a suggested line item is right and when it needs changing.

Frequently asked questions

What is restoration estimating software?

Tools that turn evidence from a property loss into a priced, line-item estimate a carrier can review, usually in Xactimate.

Is Xactimate restoration estimating software?

Xactimate is the Verisk estimating platform most US carriers use. Other tools, including AI drafting tools, often feed into it.

What does AI add?

AI drafting reads photos, measurements and notes and drafts the line items, so the estimator reviews instead of re-keying.

Do small contractors need it?

If you submit estimates to carriers, you need some way to produce Xactimate-ready estimates. The question is how much manual entry you want to keep.
